Accessing the Platform
We have an article covering all access scenarios: How to log in to the platform.
Permission Settings
To get started, you must have the following permissions in the platform to gain access to the Strategy Hub:
After that, the menu with the Strategy icon will become available for accessing the Hub.
Initial Workspace Steps
Creating a Workspace:
Right on the Hub’s Home page, the Workspace is the main area of this hub, where you can create your objectives, add necessary people to collaborate with you, or organize everything on your own!
To create a workspace, simply go to the collapsed menu, expand it, and select the option + create new.
Then, a creation modal will be displayed.
- Name: should be filled in with the workspace title.
- Image: optional image to characterize the workspace.
- Administrators: defines which users have special permissions in the Workspace.
- Members: users with view-only access who may create some objectives.
- Objective Levels: defines the desired hierarchy. There’s also a “+ create new level” option for extra hierarchy levels.
To finish creating a Workspace, click the Save button.
Important points:
|
General Information:
- After creating your initial objectives, on the workspace’s main page, you’ll see a general overview of them:
- A progress bar is displayed, with its color reflecting the objective's status. Also shown: the objective’s privacy setting, period, and responsible user(s).
- Each workspace has a “profile” where you can create sections and add relevant information for other members to view:
- To add a new section, click the ➕ button in the bottom corner of the workspace profile card. You’ll see fields to enter the new section’s title and content:
- In the Workspace overview, at the top, you can filter the displayed objectives and use the search field to find them:
- Using the Objective Tree button, you can view objectives in hierarchical levels. This area gathers all Connected Objectives in the Workspace with defined levels, shown as cards according to their connections.
- Finally, through the My Area button, you access a different page from the Home, showing all objectives, key results, and imported tasks (within a KR) related to the user. It centralizes the most important and relevant information: favorited objectives and KRs, imported tasks, and accessible workspaces.
Initial Objective Steps
Once your workspace is created, it’s time to start setting your first objectives. For that, there are some action buttons on the Home page.
Creating an Objective:
Next to the OBJECTIVES label, the ➕ icon opens the creation pop-up for a new objective. If you have no objectives yet, you can also click the Register Objective button centered on the home screen.
After accessing the creation pop-up, you will need to complete the following fields:
- Objective Name: enter the objective’s title. It may represent a company goal or your personal goal.
- Responsible: users (in addition to you) who will help manage the objective. They can manage key results and participants.
- Collaborators: similar to Responsible, but with no management permissions. They can add info to the objective.
- Objective Level: used if you want to classify the objective hierarchically within the workspace.
- Period: define the duration of the objective.
- Privacy: define who can view the objective: only participants/responsibles or all with workspace access.
- Progress: choose how the objective’s progress will be updated.
- Update Reminder: define the frequency of email notifications for updates.
After filling in all required info, click Save Objective to finish.
Editing an Objective:
Once created, you can make some changes to your objectives. If you have permission, you may edit the objective’s “Name”, “Level”, “Progress”, and “Reminder”.
Next to the objective's name, there is a “arrow” icon that opens the editing pop-up:
To save changes, click the Save button.
General Information:
On the left side of the screen, you will see general information about the objective:
- Description: used to define the objective and its purpose.
- Connected Objectives: used to link other related objectives. Objectives without levels only connect with others at the same level.
- Responsible: can add/remove collaborators, create key results, edit, and delete the objective.
- Collaborators: can create key results, comment, and update the objective.
- Period: originally defined during creation but can be edited by the responsible at any time.
- Linked Initiatives: used to associate a portfolio/project from the Initiatives Hub. The user selects from available items in their AEVO account; clicking one redirects to the corresponding page in Initiatives.
- Tags: used to classify the key results within the objective.
Within each Objective, you can track its status. There are currently 7 types:
- At risk
- Delayed
- Missed
- Abandoned
- On track
- Achieved
- Not informed
Notes:
|
At the top bar of the objective, you’ll see various action buttons:
The Objective Tree button opens the page showing all connected objectives and their hierarchy.
The Public button allows the user to change the privacy of the objective.
In the center of the objective’s page, you can track indicators of key results, create a new key result, and view the timeline with historical data and user comments.
Objective Progress:
Progress can be updated automatically or manually. Below we explain the differences:
If set to Automatic, the objective progresses based on the performance of its key results.
You can update the status, but you cannot manually set the progress percentage, since it’s calculated automatically.
If set to Manual, the progress is updated manually by the user.
When updating an objective, go to the Status tab and first set the “Update Title”, “Status” and “Progress”.
In the Summary tab, you can add notes and upload files.
Initial Key Result Steps
Creating a Key Result:
You can create a key result if you have the proper permission. This permission is set when creating an objective. Both RESPONSIBLES and COLLABORATORS can create key results for that objective:
On the OBJECTIVE page, if no key result has been created yet, the following message will appear:
Click the button to create a key result.
If one already exists, click the ➕ icon as shown below:
1) First, choose a name and a description for your key result:
2) Next, define the metric characteristics: whether it aims to increase, decrease, or is defined as a deliverable:
Choose the unit of measurement:
Set the start and end values and dates:
You can create partial goals:
Define the notification frequency (or choose not to notify):
Set the status tiers (3 levels) and weight of the key result:
3) Third, select the participants and define who are the responsibles and collaborators:
4) Finally, review the information. If everything is correct, click “Create”. To edit, go back to the desired step:
Editing a Key Result:
To edit a key result, click the “arrow” next to its name. This will open a pop-up where you can modify its main information.
Updating a Key Result:
To track the progress of your key result, you must perform an update indicating its status. Both collaborators and responsibles can submit updates. Click the “Update Result” button at the top of the screen:
The pop-up will show the last reported value (if any), the target value, and the percentage reached based on your new update.
The update requires a date, which defaults to the current date but can be modified for retroactive entries.
You must also provide your perspective for the key result:
Optionally, you can leave a comment with relevant insights about the progress of the key result.
After creating and configuring the objective, the following TABS become visible, in the order of General, Attachments, Comments, and History. Each tab contains specific information.
General Information:
- A general view of the key result’s progress is displayed. The progress bar changes color according to predefined ranges, reflecting its status.
- On the KR page, you’ll see the key result’s progress, description, purpose, responsibles and collaborators, start and end dates, tags, and linked tasks.
- In the Attachments tab, files can be uploaded to the KR; and the History tab shows all changes and updates to the key result.
Tasks:
Below the progress chart, there is an area for viewing the initiatives/tasks linked to that KR. Tasks can be viewed in Kanban or List mode.
To import a task, click the “Import Tasks” button. You’ll then see the following modal:
In this pop-up, you’ll see and search for projects you have access to on the left. You can then select tasks from that project to import. On the right, you’ll see tasks already imported or currently being selected — even if added earlier by another user.
After selecting the relevant tasks, click “Import”.
You can also unlink a task by hovering your mouse over it in the imported list.
All imported tasks are displayed on the key result’s task board, each one placed in its corresponding column according to its status. Tasks can also be unlinked directly from this board.
