Now it's much easier to track the progress of projects within our platform! With the new Updates feature, you can quickly identify whether a project is on track, at risk, or delayed all without having to open item by item.
This improvement is already available in the Initiatives Center and was designed to bring more agility and convenience to your daily routine. In addition to simplifying tracking, it also creates a space to record and consult previous project situations.
And there’s more: the feature provides an intuitive view with tags on project cards, a new status filter in the Kanban, and BI integration, ensuring even more control and visibility. Below, we highlight the main aspects of this new feature:
Where to find this new feature?
Within the Initiatives Center, while in a Portfolio, by clicking the three dots of a project and then the pencil icon to edit. You will see a new tab called Updates.
This is the space where you can record everything that is happening in each Stage of the project, including a brief description and a status tag.
These tags make it easier for you and the entire team to quickly understand the current situation of each project.
In the project modal, Managers and Administrators will be able to enter periodic updates on the progress, ensuring more efficient follow-up.
How to register an Update?
Within the Initiatives Center, choose the desired project and click on Edit:
From there, you will be in the Updates tab. Click the Register Update or Register Update + button, as shown in the image below:
Once this is done, you must fill in the required information to create a new Update:
- Update: select the tag that best represents the status of the activity by choosing one of the following options: On alert, Up to date, or At risk:
- Registration date: by default, the field displays the current date, but it can be changed as needed:
- Title: enter a brief title about the project update. This field has a limit of 150 characters:
- You can also add more details in the optional Comment field, with a limit of up to 4000 characters.
The system prevents the entry of characters beyond the allowed limit and displays alerts as soon as the limit is reached.
Finally, click Save to register the update:
Who can register updates in the project?
Only Managers and Administrators are allowed to register periodic updates directly in the project. These users can report the current status of the project, such as On alert, Up to date, or At risk, in addition to including the date, log title, and additional comments to provide further details on the status.
Can I edit an update?
Only the user who registered the update will be able to edit it.
In edit mode, the user will be able to change the date, title, and comment of the update.
The status entered cannot be changed or deleted. To update the current status of the project, a new entry must be registered.
If you need to make any adjustments, simply click the pencil icon on the desired update.
If the latest update is edited or deleted, the project status will be automatically updated based on the new most recent entry.
The most recent update will always appear at the top of the list and will be the information reflected in the overall project view.
Just like in the registration component, when the editing component is active, the “Register update” button and the edit buttons must be hidden.
Is it possible to delete an update?
Yes, it is possible, but only the user who registered the update will be able to delete it. When a deletion is requested, a confirmation modal must be displayed, and the action must be recorded in the project history.
Direct view in the portfolio
The main advantage of this feature is that the latest registered update will also appear in the project portfolio view. This allows you to quickly and intuitively understand the overall progress of each project without needing to access them individually.
If the latest update is marked as At risk, for example, the project will be identified with that tag in the portfolio, providing a much clearer and more strategic view.
Shortcut via the card
In addition, users will also be able to start a new entry directly from the project card action menu in the portfolio.
In this case, the user must be redirected to the project’s Updates tab, with the new entry component already open. See below:
Indicators in the portfolio
Each project card will include a label with the most recent registered update. All users who view the project in the portfolio will be able to see this label and also filter projects based on the updates, making it easier to quickly identify the status of each one.
