Accessing the platform

How to send an idea and view submitted ideas?
The first step to submit an idea is to log into your company’s innovation environment. You’ll then land on the platform's homepage.
There, you’ll see the ranking of the most innovative people, a timeline of ideas submitted by you and your colleagues, and the challenges in which you can contribute by submitting ideas.
Depending on your company’s Gamification strategy, as you interact with the platform — by submitting ideas to open challenges and interacting with your colleagues' ideas — you can earn points that will improve your ranking, helping you stand out as one of the top innovators. It’s important to read your company’s program rules to understand how the Gamification works. 😉
There are two ways to submit ideas on the platform, both via the challenge banner:
If the challenge is new and you haven’t submitted an idea for it yet, just click on the desired banner image.
This will take you to the challenge description, which will guide you in developing more effective ideas.
After reading the challenge description, just click the Submit button to access the form and let your creativity flow.
If you're already familiar with the challenge's objectives, you can click directly on the button below the banner on the homepage.
Use AI to submit your idea!
When filling in the Description field of the idea form, our Artificial Intelligence searches for ideas similar to yours that have already been submitted to your company’s idea program.
The more detailed the Description, the more accurate the suggestion.
Clicking the AI suggestions expands and displays all similar ideas based on the correlation with your form content.
If there are no similar ideas or if there’s too little information, our AI will notify you accordingly.
If you don’t have all the information needed to complete your idea, click Save as draft to store and edit it later.
If your idea is ready, just click Submit Idea, and it will follow the approval workflow configured for the challenge.
Both buttons are located at the bottom of the idea form.
All done! Now just monitor the platform and your email for updates on your idea.
Viewing my "In Progress" or submitted ideas
To view your ideas (either drafts or submitted), there are two paths:

Click directly on My Ideas from the homepage.
This will take you to a page where you can view all ideas submitted by you, ones where you're a Collaborator, and Favorited ideas.
On this page, you can track user interactions and the current Status of each idea in the approval workflow.

You can also access My Ideas via the three-line Menu in the upper right corner. Just click My Ideas and you'll be redirected.
How to view my pending tasks?
After navigating through the 3-line menu 👉 My Pendencies, you will be directed to an overview of your pending tasks. By default, the information is organized by type of pending task, meaning each type occupies a line indicating the ideas linked to that task.
- The Issue Type column indicates what type of task is pending. Clicking on it takes you to the resolution page. For Adjustment and/or Opinion requests, the requester's name appears below.
| Important: Only Financial Payment tasks cannot be tracked on this page. To track those, use the Manage Payments option in the three-line Menu. |

Pending Time indicates the period since that pending task started.

Deadline shows the maximum time you have to complete the task. Not all tasks have a due date; it depends on who generated the task for you. If there is one, it will be shown; if not, the term Indeterminate will appear. If the task's deadline is overdue, the text will be displayed in red.

The Idea column shows the ID and title of the idea. Clicking it will open a pop-up with more details about the idea.

Under Status, you will know which stage of the flow the idea is currently in and whether it is hidden from other users via the icon.

In the last column, Actions, you can access the modal with more details about the idea, open the idea's edit page to make your evaluation, or open the task resolution page (the button varies according to the task type).
If you are up to date and have no pending tasks on the platform, this will be indicated accordingly.
Filters
By default, the filters for Issue types and Pending Type will always be visible. The options for Issue types filters can be combined to return diverse results. Next to each task type name, the number of pending tasks for you to address will be displayed, making management easier.
In the Pending type filter, you can use ranges to define the minimum and maximum period since tasks were opened, making it easier to search for older or more recent pending tasks.
Additionally, by using the See more button, the platform will offer a series of filters that can be used individually or together to get the desired result.
In all cases, you must use the Apply Filters button for the page to return the desired result.
Resolved Pending Tasks
From the My Pendencies screen, you can search for your already resolved tasks. To do this, simply toggle the selection via the list at the top right corner of the screen.
By default, the page will display pending tasks, but through this filter, it is possible to view both simultaneously or separately.
Resolved tasks have a visual indicator, where the background is slightly greenish, and the status Resolved is displayed next to the task type information.
This way, you have easy access to your action history within the platform.
Evaluating My Pending Ideas with AI
The score is a rating generated by Generative AI that indicates the level of adherence of an idea to the campaign.
This score is expressed as a percentage and comes with a justification that explains the criteria used in the analysis. The Generative AI evaluates the textual elements of the idea and compares them to the campaign guidelines, assigning a score based on factors such as relevance, thematic alignment, and use of keywords.
When the AI functionality is enabled, Approvers, Superusers, and Idea Administrators have access to the AI component on the My Ideas page. To activate the functionality, simply click on the AI icon located in the upper right corner of the screen:
For evaluators who have pending ideas, the AI will display the score directly in the list view:

How to complete my pending tasks?
Next, you will see how to complete each of the pending tasks you may have on the platform: Idea Evaluation, Idea Implementation, Technical Opinion, and Financial Monitoring of an idea.
If you have your corporate email set up for notifications, the system will send you an email reminding you of all pending ideas for evaluation. Moreover, every time an idea arrives for evaluation, you will also be notified by email.

How to evaluate ideas in the approval flow?
For this type of task, navigate through the 3-line menu 👉 My Pendencies:
When accessing this menu, all ideas requiring some action from your user will be marked under My Pendencies. Using the available filters, you can view only those in the approval flow stages. Then, just click on this option to start your evaluation process.

In the Actions column on the page, you can:

Open the idea modal to view the submitted data (form fields, authors, comments, etc.).

Access the idea page to review all its information.

Evaluate, approve, or reject the idea.

By clicking the icon , you will be taken to the evaluation screen for the stage you are responsible for, where you should perform your analysis regarding the idea's approval or rejection.
On this screen, you can also access other important tabs about the idea, such as:

IDENTIFICATION tab: shows the idea content filled in by the authors in the submission form.
-
CLASSIFICATION tab: shows specific criteria that should be evaluated regarding the idea, if enabled.
-
Other EVALUATION tabs: allows you to see evaluations made by other managers in other stages.
-
HISTORY tab: allows you to view all records of the idea's movement so far.
The resources available within the APPROVAL TAB may vary depending on each campaign's administrator settings but generally include:
-
The criteria to be evaluated at the stage.
-
An observation field for you to insert your analysis regarding the idea's evaluation.
-
The list of opinions requested on the idea, as well as their status and other information such as request date and response deadline.
-
The average evaluation of opinions and criteria evaluated by other evaluators in the same stage.
-
The other action buttons to start the idea evaluation process.
The button options also vary with the current campaign's approval flow settings, but generally, you can:
-
Request an adjustment from the author or an opinion from another manager (see tutorial: How to request an adjustment or opinion?).

Approve the idea (you may even send it directly for implementation).
-
Reject the idea.
-
Simply send it to the next evaluation stage, or;
-
Save the evaluation data to continue later.
By clicking the Deny button, you finalize the idea by providing your justification and reason for rejection. At this point, the authors receive a notification informing them that their idea was rejected, so it is very important that you clearly and thoroughly justify the rejection.
To approve an idea, there are variations depending on the campaign configuration. See the two approval types and possibilities below.
1) Direct Approval - Intermediate Stage
If you are the evaluator of an intermediate stage of the approval flow and wish to approve an idea, i.e., send it directly to the APPROVED state, when clicking the Approve button, you must provide not only your analysis (field STAGE ANALYSIS) but also justify why you are approving the idea midway through the flow without it going through the remaining funnel stages (JUSTIFICATION FOR DIRECT APPROVAL field).
At this moment, you will also decide whether to send the idea for implementation. If yes, you must indicate the person responsible for implementing it. By activating the SEND FOR IMPLEMENTATION flag, other options may appear depending on what your company has contracted, such as:

Manage via Initiatives;
-
Plan/Control Financial Return, if the idea has such potential.
If you uncheck Send for Implementation, the idea will remain in the Approved state without generating a pending task for anyone, equivalent to leaving the idea in standby.

2) Approval in the last stage of the flow
If you are responsible for the last stage of the approval flow, there is no longer the concept of direct approval. Therefore, it will be up to you to approve or reject the idea by filling out the fields as shown above, except for the JUSTIFICATION FOR DIRECT APPROVAL field.
AI Score: Facilitating Idea Evaluation
The AI evaluation functionality automatically analyzes the content of ideas and generates a score as a percentage, indicating how well the idea aligns with the campaign. The score is accompanied by a justification based on criteria such as relevance, thematic alignment, and keywords.
When the AI functionality is enabled, Approvers, Superusers, and Idea Administrators have access to the AI component on the Idea Evaluation page:

Finalizing the implementation of an idea
Once the idea has been sent to the Implementation phase, you will be able to manage it through the 3-line Menu 👉 My Tasks.
After selecting this option, you will be directed to a page listing the ideas under your responsibility. Then, you can use the filters to select the idea you want to implement and click on the 💡 icon.
After doing this, you will be directed to the idea editing page, where, in the Implementation tab, you must fill in the fields shown in the image below to proceed with the process.
It is worth noting that among the fields illustrated by the image, only four are mandatory to fill in. They are:

Planned Start Date

Actual End Date
With the basic information recorded, just click the button Finalize Implementation. At this moment, the idea will have its implementation finalized and its status will change to Implementation Validation or Implemented, depending on how the idea approval flow was configured.
| Note: The “Implementation Tasks” fields do not generate tasks or notifications for users and serve only as an item for internal organization and monitoring by the person responsible for the implementation. |
How to respond to a Request for a Technical Opinion
If any manager requests an opinion from you, a new activity will be created in the 3-line Menu 👉 My pendencies, located in the upper right corner of the screen.
On this page, all tasks under your responsibility are displayed, and by using the available filters, it is possible to filter by ideas that have the Technical Opinion task.
From the Actions column, we have access to the following commands:

Open the idea modal, where it is possible to view the idea’s data (form fields, authors, comments, etc.);

Access the idea page, to view all the information about the idea, including the approval history;
-
Access the Technical opinion issuance page, where you can view details of the request made to you, and thus issue your feedback on the idea.
By selecting the 3rd option, you will access the following page:
In the "Request Data" block, you will be able to view the details of the request made to you, including:
-
the stage at which the feedback was requested;
-
the requester;
-
the date it was requested;
-
the deadline you have to respond;
-
the person responsible for responding to the feedback (user, groups, topic, or department);
-
whether it blocks the flow or not;
-
and the option to view other feedbacks in your name for this idea.
In the "Idea Data" block, you can view the basic data of the idea for which feedback was requested, being able to see the idea's details by clicking on the option "view other idea data".
Finally, in the "Issuing of the opinion" block, you will fill in the information requested from you:

the written response about your feedback;
-
the indication whether the feedback is favorable or not to what was requested;
-
the assessment using a numerical or star scale (if applicable);
-
the optional classification of the evaluation criteria for the stage (if applicable);
-
the insertion of attachments that support the decision of your feedback;
Finally, just click on "Issue Opinion" to complete this task. By doing this, the previously filled fields will become locked for editing.
This issued feedback can now be viewed by you and anyone else who requested feedback from you through the option "See other opinions on my behalf on this idea" in the Request Data block.
How to perform earning trackings?
If there is any idea for you to perform the Earning Trackings, a new task will be created in the 3-line Menu 👉 My Pendencies, located in the upper right corner of the screen.
This page displays all the ideas that require some action from your user on the platform. By using the available filters, it is possible to filter by ideas with the Earning Trackings task pending:
After clicking the icon, you will be redirected to the idea's Earning Trackings page.
On this page, there are some actions that can be performed:
- In the “Tracking Configuration” section, the “Frequency” and “Number of periods” are defined. For example, by selecting Trimestral as the frequency and 4 as the number of periods, your tracking will be carried out over 4 quarters.

In the “Events” section, just below, the columns for values to be filled in will be displayed according to your chosen frequency for the Earning Trackings.

In the “Forecast” column, you must enter the cost and financial return values expected from the implementation of the idea.

Once the forecast is completed, you will see that the data in the “Forecast” column is mirrored — this is because it reflects the most current data in your tracking, which at this point is the forecast itself.

Then simply click on “Freeze Forecast” to begin the actual tracking of the idea as time progresses.
| Attention!It is important to note that once frozen, the data in the “Forecast” column is permanently saved and cannot be changed later. |
- In the “Achieved” column, the actual values obtained from the implementation of the idea must be entered. Each time a new value is entered, you will see that the data in the “Forecast” column is updated again, reinforcing that it displays the most up-to-date data in your tracking. To save these updates, simply click the Update Tracking button at the bottom of the page.
Finally, to close the Earning Trackings and remove the pendency from your responsibility, just click on “Finalize Tracking”.
How to request an adjustment or technical opinion?
Below are the main differences between these requests:

Adjustment Request: A request for improvement made to the idea's creator, in which you request a necessary change to proceed with your evaluation process.

Technical Opinion Request: A request for more technical analysis made to a manager or group from another department, who usually provide information that you may not have and that can assist in your decision to approve or reject the idea.

My Profile Settings
On the My Profile page, users can customize some of their settings. To access this page, go to the 3-line Menu 👉 My Profile:
The platform will then take you to the page where it is possible to edit various information and settings.
1st Section – User Data: You can add a profile photo to your user. Just click on photo to update.
In this same section, if your user is a Local Registration, you can change the Name and Password. Simply make the changes in the indicated fields and click the Save button at the bottom of the page. If your account comes from an automated integration, changes will not be possible.
2nd Section – Notifications: You can enable or disable the “I wish to receive Innovate notifications by email” flag. If enabled, you will receive all platform notifications sent to your email. If disabled, you will only receive emails related to password recovery, idea reporting, new user registration, help requests, and test emails.
In the “Email notice frequency” field, you can set how often the platform sends the general pendency summary emails to your user. Choosing the Default option will follow the frequency defined by the Administrator.
3rd Section – My Achievements:You can track your achievements. Each badge represents a specific goal achieved. Employees may receive badges for submitting ideas (Innovator category), commenting on ideas (Participant category), having approved ideas (Assertive category), and submitting ideas that generate financial return for the company (Entrepreneur category). Additional categories may exist depending on the program manager's configuration.
What notifications and emails will I receive?
The most frequent email you will receive is the General Pendencies email, in which the platform summarizes all actions pending with your user.
In addition to that, you may receive an email when:

your user account is created,
-
a password recovery is requested,
-
you submit an idea for validation,
-
your idea is approved, rejected, or implemented,
-
an adjustment is requested,
-
another user comments on your idea,
-
someone replies to your comment,
-
or when a manager requests a Technical Opinion from you.
Besides email, all these actions will also appear in the platform’s notification bell.
